Where in the World is Carmen SanDiego?: The Programs, Calendars and Techniques I Use to Keep Clients on Schedule
Every VA needs to know what is her client’s schedule and help them to manage it.
One of the best programs for keeping my clients on schedule is Google Calendar. Google is incredibly flexible, offers tons of ways to integrate with other tools / services. Clients can share their events with me, their customers and friends or even make it public. There are pop up reminders, email reminders and Google can even send reminders about events by SMS!
It also allows my clients to access the calendar however and whenever they want by syncing events with Microsoft Outlook, Apple iCal and Mozilla Sunbird. They also share it with me, so I know their schedule and plan the assignments ahead.
I also love Genbook – a fully-featured and easy-to use appointment calendar that gives my clients total control over their online availability, plus the flexibility to effectively manage their entire schedule. They can have book now button to embed on the website, email newsletter, Facebook page etc. It is ideal if you need to allow your customer (or VA!) to book an appointment with you to chat about an important matter or project. Once booked, you and your customers can get a reminder about it. Genbook also synchronizes with Outlook, Google Calendar, iCal and many others with its industry-standard calendar sharing and synchronization features. You, your staff, and your customers will always be in synch.
One of my clients has a large team and many projects going on. We use TeamWorkPM.net. This works well because it gives a sense of control for my client on who, when and what needs to be done in order to launch successful projects on time.
The TeamworkPM calendar lets to view all meetings and events across all the projects in once location as well as allowing you to see what the rest of your team is up to. The calendar has iCal feed, recurring event option, reminder by email and/or SMS.
All above programs are very important in terms of communication, collaboration and delegation when working with your VA as well as with your customers. I found them invaluable to keep me in the loop with my clients’ needs and schedule.
