How to Delegate Tasks Effectively

You can only be in one place at a time, and your time as a leader in your organization is best spent doing what others can’t. So why do many leaders busy themselves with the minutia and daily tasks of the day? A leader must learn what they aren’t good at as well as what jobs unnecessarily take up their time. This knowledge gives us the basis to know what to delegate to keep your time reserved for strategic thinking and acting. Delegating to others can maximize what gets done and is a key to maximizing your own productivity.

Here are a few tips to delegating tasks effectively:

Set Them Up for Success

Choosing people for specific jobs or tasks according to their skills can help ensure they succeed. Pairing them with others that have complimentary skills can help them all contribute. Provide them with the tools and complete instructions for what you expect. This includes due dates, requirements, measurable outcomes, and vision of what the finished product should look like. Be reachable so they can ask questions and you can provide clarification and guidance as needed.

Mentoring

One benefit of delegating is that it provides hands-on training and new skills to people in your organization. Your business will benefit in the long run by further developing these employees in their judgement and capabilities. Mentoring allows you to do more than just manage people. You can inspire and motivate them as you guide them through their project, making them capable of taking on more the next time. Don’t punish them for making mistakes while acting in good faith. Accommodate the learning curve and encourage and guide them in the process.

Believe Others Can Do It and Let Them

Give up the notion that you’re the only one who can do something right. Each person has unique skills and creative processes. If you have communicated the objectives well enough, there’s no need to fuss with their methodology. Micromanaging is a waste of time and defeats the purpose of delegating.  Allow them to decide how to work the project so they’ll feel ownership. Allow them creativity and get out of their way.

Check on Them

Understand that some people need more supervision than others. Regularly check in with your project leaders to track their progress, giving opportunities for feedback and problem-solving guidance. Be careful to not look for perfection but note whether they are on track to meet the objective.

Appreciate Them

Trainees and veterans alike work better when appreciated. Incentives and praise go a long way in building morale and creating motivation for future assignments and a positive work environment.
